Clean Up

1-Clean Up Types:

  • Bookkeeping Clean Up "BK Clean Up"

  • Bookkeeping and Tax Clean Up "BK & TX Clean Up"**

  • Tax Clean Up "TX Clean Up"

  • Only Clean Up "OO Clean Up"

2-New Clean Up Project :

PREP

➡️ The Client Account Manager (CAM) will create a new clean-up project and ensure the "Service Level" is assigned* If it is not, please confirm with the Sales Rep before proceeding to the "CleanUp" stage.

➡️ Next, update the "Cleanup Notes" (e.g., specify clean-up years or provide any details the cleaner might need).

➡️ Please review the checklist below to verify that all requirements are met before advancing to the "CleanUp" stage

- Bank and Credit Card Statements: Ensure they are clear, readable, and available for upload. Statements should be correctly named as follows:last four digits_CHK or last four digits_CC.

- QBO Access: Verify that all team memebers has access to the client's QuickBooks Online account, depending on the type of cleanup.

- Clean Up Notes: Update the Clean Up note field with any client-specific information that may assist the cleaners. (Be sure to make note of the exact period that is to be cleaned up)

➡️ Once everything is prepared, move the project to the "CleanUp" stage, ensuring it is ready to begin work.

*If the cleanup is "Tax Only" or "Clean Up Only," the "Service Level" is always set to "Customized," and the Cleaner is assigned automatically!

COOKING

Once the Service Level is assigned and the project is moved to the stage "Cleaup" the Cleaner is going to receive a task to start the clean up ASAP, see the list bellow:

➡️ Upload all statements (if needed).

➡️ Code all bank and credit card transactions.

➡️ Reconcile all linked accounts.

LFINCIONNE

➡️ The Cleaner will Notify the CAS -via slack and a task- to send the ATC report to the client.

➡️ Once the ATC report is received, The Cleaner will update the financials and do the final review! (Please mention in the Transaction Memo the following "Per the client ATC report dated in MM/DD/YYYY")

➡️ The Cleaner is responsible for reviewing all information for accuracy, producing financial statements, and notifying the CAM (via Slack and a Task) that the financials are ready for the client.

DELIVER

The CAM will:

➡️ Send the Financials to the Client, the Tax Preparer or to both, and then file them in Canopy.

➡️ Move the CleanUp Project to "Done"

➡️ For BK CleanUp, create a Task to hand over the client to BAM for coder assignement and set the coding date

!!VERY IMPORTANT!!

➡️ Always Use our Standard COA unless it is written explicitly in the Cleanup Note “DO NOT USE OUR COA” or if they are a cleanup only or a tax only and already have books!

➡️ Once we have all Statements, a clean-up Should not take more than 10 working days!

➡️ The Name of the Project shows if the client cleanup is for:

- Bookkeeping: BK Cleanup

- Tax: TX Cleanup

- One Off: OO Cleanup

- Bookkeeping and Tax: BK & TX Cleanup

➡️ Financials Statements should always be correctly named as follows:

[[Company Name]][[Quarter Ending]][[Year]]_P&L
